Start with the exception
A low-stock report is a reason to investigate. Before placing an order, choose the lines where an incorrect balance could change your decision. A fast mover with a questionable count deserves attention before a slow mover with a reliable record.
Check five things
Confirm the physical stock in the relevant location. Look for receipts awaiting entry. Check open transfers and orders so incoming stock is visible. Confirm whether the report uses eaches, cases or another unit. Finally, check the cutoff time of the inventory and sales records.
Keep the scope small
Record the item, location, package or lot when relevant, the source time and the discrepancy. Assign one person to resolve the exception. Recounting without a clear scope can create two numbers that still cannot be compared.
Make the purchasing decision
After the check, decide whether the next action is a transfer, an authorized correction, a purchase or no action. Keep unresolved differences visible instead of silently replacing one source with another. Your organization’s authorized systems and approval process remain in control.
Try it at your next review
Pick five proposed purchase lines whose balances you doubt. Capture the original decision, the check performed and the resulting decision. Use that record to see whether the check was worth the time. No savings assumption is necessary: the changed decisions provide the evidence.
